Job Summary
Millennium Space Systems is seeking an experienced Administrative Assistant whose responsibilities include performing a variety of support functions including administrative activities, scheduling meetings, appointments and travel, leading oversight for our travel systems, and providing meeting/training support. We need someone with a start-up vibe in their DNA and whose philosophy of change is "bring it on!". Our Administrative Assistants adapt easily to technology, have strong written and verbal communication skills, and demonstrate strategic thinking and a growth mindset.
You will be working with others who are passionate about aerospace and making a positive impact on the industry; though no aerospace knowledge is required, your willingness to learn will make the difference
This position's internal job code is Office Administrator. Our team is currently hiring for level 2.
Responsibilities
Coordinates and processes domestic and international business travel arrangements; monitors designated business traveler's logistics as requested by management
Generates expense reports and assists in reconciling Executive Assistant corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards
Creates, edits and maintains electronic and written communication based on a variety of sources including taking and synthesizing meeting minutes
Tracks and maintains information relative to program, department and business operations
Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information
Supports Executive Assistants in prioritizing and scheduling management-level employee time and availability
Supports Executive Assistants as required to track and maintain designated conference room schedules and work deconfliction planning
Support Executive Assistants as required to plan and implement logistics for management level internal and external meetings and events
Perform other duties as assigned from Executive Assistants
Minimum Qualifications
2-4 years of experience providing support to a senior leadership in a fast-paced environment
Computer literacy and proficiency in Microsoft Office, including quick mastery of its applications, are essential
Experience with travel, expense, and AV applications; proficiency in various software applications is a must
Familiarity with SharePoint and adept calendar management skills
Very strong accuracy and attention to detail
Excellent time management skills
Ability to transport self between local work sites
Ability to balance multiple projects and competing priorities in a fast-paced environment
Self-starter with strong ability to collaborate in a team environment and also work autonomously
Physical Demands of the Work Environment
• Ability to operate standard computer software (Microsoft office and ERP), equipment and keyboards
• Ability to transport self between office campuses
• Ability to work in normal office as well as inside and outside industrial working environments
• Aability to fly on regular commercial airlines to offsite locations and launch facilities

Summary Pay-Range
Level 2: $49,300 - $72,500
