Office Manager

Business Operations - Chantilly, VA - Full Time

As the Office Manager for the Millennium Space Systems facility, you will be the primary point of contact that is responsible for the office, facility and security administration.  The ideal candidate must be a self-starter and take a proactive approach to program and customer needs. The candidate must be dependable, detail-oriented, organized and have excellent customer service skills.

Responsibilities include:

  • Coordinate meetings and events with various customers, executives, program managers and key company personnel
  • Manage meeting logistics including: setup and clean-up, presentation preparation
  • Create and coordinate catering orders for meetings; order/pick up meals when needed
  • Greet visitors and ensure they are properly checked-in
  • Receive mail, photocopying, and faxing
  • Maintain local contact database (i.e., company phone listing)
  • Make coffee, stock kitchen supplies and maintain cleanliness of common areas
  • Promptly respond to:
    • Routine and non-routine mail
    • Telephone inquires
    • E-mail correspondence
  • Provide direction to outside contractors and service crews
  • Maintain an electronic and paper file management system
  • Update company/facility calendars
  • Serve as primary contact for shipping and receiving
  • Maintain inventory system integrity by properly recording items shipped and received 
  • Coordinate facilities issues and projects including: janitorial maintenance, equipment inventory and maintenance, and office management
  • Troubleshoot and coordinate with main office in El Segundo, Calif., to maintain IT infrastructure
  • Coordinate security requirements and controls for the facility, including maintaining visitor logs, checklists, Security forms, and configuring access control
  • Process on-site visit requests for non-Millennium visitors, and off-site visit requests for Millennium personnel to customer sites
  • Oversee the proper handling and storage of on-site classified material 
  • Serve as primary emergency response contact

Minimum Qualifications

  • Associate's Degree or higher
  • 3 years experience as an Office Manager
  • Superb written, grammatical and speaking skills
  • Must be proficient in MS Office (Word, Excel, Power Point, and Outlook)

Preferred Qualifications

  • Experience working in an aerospace environment
  • Active TS/SCI security clearance
  • JPAS familiarity
